Job description: 
The administrative assistant will be responsible for supporting the company quality assurance department with:
• Clerical, administrative and translation functions
• Assists the quality department management and Japanese staff in preparing reports and translating documents and meetings (Japanese-English)
• Supports the facility with front desk duties
• Creates daily and monthly quality reports for the customer group and distributes to company business unit managers and business unit leaders; completes monthly graphs to track overall performance of the division
• Acts as administrative assistant to the AGM of the quality department and Japanese staff; assists with preparation of quality and accounting reports, charts, graphs, and presentations that will be used by management
• Provides translation of documents and presentations (Japanese-English)
• Acts as customer portal administrator for all company business units that provide products to customers; enters requests for access to customer portal applications; updates customer portal database of company contacts and responsibilities linked to customer personnel
• Enters replies and updates the customer portal for all customer claims and maintains the company database and reports for these claims
• Types complex and routine correspondence, reports, various forms, etc., from rough drafts, handwritten notes, and general verbal instructions, correcting grammar and spelling as needed
• Arranges meetings and conferences, schedules appointments, records meeting notes, and maintains the department calendar of these events
• Completes travel arrangements for the quality department and supports other departments as needed
• Supports other business units by compiling and distributing monthly reports
• Provides coverage of the front desk as needed, and other activities related to front desk duties
• Receives, logs, and documents internal and external invoices; creates and maintains database of this information
• Supports on-boarding of new associates and expatriate or assignee staff members
• Maintains and announces all HES received via the customer portal
• Reviews and issues e-reps per department needs
• Develops, controls, and manages the MBU Sharepoint site

Language requirements: Japanese and English
Qualification requirements: 
• Associate degree with 5-7 years of administrative experience
• Excellent skills using personal computers, including MS Word, Excel, and Outlook
• Skilled in the areas of administration and organization
• Must type 40 WPM with 95% accuracy
• English and Japanese language skills required
